Self-service portal enabling Bowen University alumni to request and track official transcripts in real time. Bridged legacy and current infrastructure without disrupting ongoing operations.

Overview
Alumni requesting official transcripts from Bowen University had to navigate a slow, manual process — physical requests, unclear timelines, and no way to track progress to destination institutions.
The Transcript Request Portal replaced this entirely with a self-service system accessible from anywhere. Alumni can submit requests online, track delivery status in real time, and receive confirmation when transcripts reach their destination.
Technical Challenge
The system had to retrieve historical academic records from a backup of the legacy database while operating alongside the current platform. I built the complete solution, including the database access layer, request workflow, administrative tools, and fulfilment status model.
Key Features
- Self-service requests — Alumni initiate and manage requests without visiting campus or calling the registrar
- Status tracking — Visible updates at each stage: submitted, processing, dispatched, delivered
- Legacy record access — Reads historical records from the legacy database backup
- Digital fulfilment — Operators email digital transcripts and mark the request completed after successful sending
- Courier fulfilment — Operators verify the receiving organisation's address before dispatch, then mark the request handled
- Admin dashboard — Registrar staff manage the queue, flag issues, and handle exceptions
Results
- Removed several physical hand-offs that could extend request processing
- Made the service accessible from anywhere — no campus visit required
- Preserved access to historical records while bridging the legacy and current systems
The portal remains in operation.
