Case study
Transcript Request Portal
Self-service portal enabling Bowen University alumni to request and track official transcripts in real time. Bridged legacy and current infrastructure without disrupting ongoing operations.
Overview
Alumni requesting official transcripts from Bowen University had to navigate a slow, manual process — physical requests, unclear timelines, and no way to track progress to destination institutions.
The Transcript Request Portal replaced this entirely with a self-service system accessible from anywhere. Alumni can submit requests online, track delivery status in real time, and receive confirmation when transcripts reach their destination.
Technical Challenge
The system had to integrate with both the legacy institutional backend and the current platform — bridging two generations of infrastructure without disrupting ongoing operations for staff or existing students. This required building a translation layer that spoke both systems fluently, handling data discrepancies and format mismatches transparently.
Key Features
- Self-service requests — Alumni initiate and manage requests without visiting campus or calling the registrar
- Real-time tracking — Status updates at each stage: submitted, processing, dispatched, delivered
- Legacy system bridge — Transparent integration with both old and new institutional data systems
- Destination confirmation — Automated confirmation when transcripts reach receiving institutions
- Admin dashboard — Registrar staff manage the queue, flag issues, and handle exceptions
Results
- Eliminated manual processing bottlenecks that previously created multi-week delays
- Made the service accessible from anywhere — no campus visit required
- Zero data loss on historical records (previously fragmented across two systems)
